Job Summary

Performs a variety of administrative functions for the department including procuring supplies. Coordinates scheduling within the department which includes web based meetings and arranging travel plans for department members when necessary. May also be responsible for running reports.



Education and Experience

A two-year degree in secretarial science and at least one (1) year of general office experience or at least five (5) years of secretarial/clerical experience required.

Required Minimum Knowledge, Skills and Abilities

Strong time management skills with the ability to prioritize multiple projects and duties.

Ability to learn new software when appropriate.

Desire to take on job challenges / opportunities as they arise.

Excellent customer service skills.

Experience using Office Productivity Software.

Ability to analyze and interpret data to produce meaningful information to support management decisions.

Essential Functions

People

Routes questions or messages in proper direction, or if appropriate, answers questions

Ensures new staff has essential equipment on start date

Service

Sets agenda for meetings based on direction from department

Records minutes during department meetings

Supports department in arranging travel plans and completing required paperwork

Maintains files and databases of pertinent information for the department

Quality

Proofreads and edits typed or transcribed documents for proper spelling, grammar, and punctuation. Checks simple calculations for accuracy.

Schedules appointments and meetings (including web-based meetings) in a manner which maximizes time and availability and promotes good relationships between the department and employees of Eastern Maine Healthcare Systems.

Finance

Orders supplies using established processes, ensuring adherence to budget

Growth

Proactively schedules required meetings, conferences, etc. including completing the scheduling of off-site venues

May run EHR reports to assist department

Community

Organizes/schedules presentations from outside vendors

Sends communications to employees of Eastern Maine Healthcare Systems as requested by department

Works with HR to schedule job candidate interviews

Physical Demands

Sedentary: Exerting up to 10 lbs. occasionally, sitting most of the time, and only brief periods of standing and walking.

Requires the ability to travel to member organizations as needed
