Job Details POSITION SUMMARY:



The Business Manager for Outpatient Services (Manager) is responsible for facilitating the business and practice management functions for a variety of adult and pediatric outpatient services at Acadia Hospital, Acadia Healthcare and Restorative Health. Working closely with clinical leaders, the Manager will insure outpatient service lines are operating in a fiscally responsible manner, in compliance with appropriate regulations, and in a customer oriented manner.

To be successful, the individual in this position must:

· Possess a thorough understanding of all facets (e.g. revenue cycle, financial management, customer service, etc.) of outpatient practices in a behavioral health setting.

· Remain current and savvy about the role of technology and its impact on behavioral health delivery models.

· Demonstrate ability to communicate at all levels in the organization through presentations as well as written, electronic and oral means.

DUTIES AND RESPONSIBILITIES:



1. Patient Care Management / Coordination



a. Provide exceptional support services to the various disciplines involved in the care of the patients in the departments.

b. Maintain regular communication with physicians, nurse practitioners, nurses and clinicians within the practice and other staff involved with the departments.

c. Address patient satisfaction concerns for the practice under the Manager's control in a timely and constructive manner

2. Operations

a. Supervise the collection, custody and dissemination of relevant and accurate data / information to properly manage the departments.

b. Assist clinical and senior leaders in the development of annual operating budgets, forecasts and capital budgets.

c. Monitor performance of the annual operating budget and implement recovery plans when necessary.

d. Work with managers and staff to adhere to KPI benchmarks.

e. Insure monthly statistics are compiled efficiently and accurately for each department.

f. Collect and analyze data relevant to departmental revenues, expenses, productivity, patient scheduling staff utilization, billing information, and statistics and develop action plans for enhanced performance.

g. Provide analysis including resource utilization for programs within the departments.

h. Facilitate performance improvement activities as necessary.

i. Maintain necessary IT systems through a clear reporting relationship with IT and the vendors.

j. Prepare necessary grant budgets and insure that expenditures associated with awarded grants conform to defined budget parameters.

k. Maintain accurate market/demographic patient information.

l. Insure optimal utilization of facilities and space.

m. Facilitate contract development and negotiation as needed.

n. Prepare business plans as necessary.

o. Insure policies and procedures are followed and updated annually.

p. Insure compliance with applicable federal, state and local regulatory agencies in with professional licensure.

q. Develop and or coordinate continuing education program for staff under his or her supervision.

r. Ensure attendance at all mandatory training sessions required by the organization

s. Attend conferences mutually beneficially to the company and Manager to develop skills necessary to advance the Manager's career.

t. Maintain good working relationships with colleagues throughout the organization.

u. Update policies as requested by senior leadership.

3. Labor

a. Manage all Outpatient Support staff personnel in the departments including hiring, training/orientation, performance appraisals, discipline, amending job descriptions when required, and scheduling.

b. Work closely with senior management to develop appropriate productivity standards for all disciplines in a department.

c. Monitor and adjust staffing levels to benchmarks as necessary. Insure compliance with established performance benchmarks (staffing to volume activities).

d. Monitor proper recording and management of pay practices (hours and pay codes).

4. Revenue Cycle

a. Provide support to staff responsible for variety of revenue cycle functions (e.g. scheduling, registration, referrals, billing, "no-shows", etc.).

b. Assist senior leaders and revenue cycle staff in maintaining the pricing / charge system and recommend pricing changes to Vice-President of Finance when necessary.



QUALIFICATIONS / EXPECTATIONS:

1. Bachelor's degree required

2. Five or more years of business and / or practice management leadership experience in an outpatient setting is preferred

3. Proven financial and operational management skills

4. Strong analytical skills

5. Able to take initiative and exercise independent judgment

6. Proven background with efficient decision making and problem-solving expertise

7. Excellent organizational skills with the ability to gather, analyze and interpret information and make effective recommendations to senior level leaders

8. Demonstrated skill using MS Office products including Excel, Word, Power Point and Outlook

9. Proficient with data management tools (e.g. MS Access)

10. Possesses excellent communication skills

11. Able to work within the constraints of deadlines and in an environment with numerous interruptions

12. Able to think outside the box to build structure, systems, processes and metrics from group members

13. Politically astute and a consensus builder

14. Strong project management skills and follow-through from vision to execution

15. Flexible and able to react to ever changing priorities
